Describe the payment flows, not just the features
Document the legal entities, business model, markets, channels, and currencies the setup needs to support. Describe how funds move through collection, refunds, settlement, and payouts. A subscription business and a marketplace can require very different capabilities even when both accept cards online.
Separate essential requirements from future possibilities. For local methods, establish the customer use case and the requirements for refunds, recurring use, reporting, and settlement. A long method list is less useful than knowing whether the relevant journeys will work for your operation.
Bring the operation into the evaluation
Ask finance to define settlement and reconciliation needs, risk to describe control and dispute requirements, and technology to assess integration and migration. Include the people who handle payment exceptions and customer enquiries. Their requirements often reveal costs or dependencies that a feature comparison misses.
Use a common transaction profile for commercial proposals. Request clarity on charges, settlement conditions, reserves, support arrangements, and implementation responsibilities. Distinguish a capability demonstrated by the provider from a statement that still needs confirmation.
Make the decision and the next steps explainable
Evaluate providers against agreed criteria and record the tradeoffs. Keep eligibility and onboarding approval separate from your own preference: a shortlist does not confirm that a provider will support the business or every market in the brief.
Before concluding selection, define the next phase. Identify integration owners, testing needs, reporting readiness, data migration questions, and go-live criteria. A good provider decision includes a route from the proposal to an operating payment setup.
Agree the requirements and evaluation criteria with finance, payments, product, risk, and technology before asking providers to propose a solution.
